Warehouse shift scheduling: night shifts, dispatch and timesheets
Warehouses run at night too, and the rules for night work differ from the day. Even the time of the break can change whether a shift counts as a night shift. This system works out the night shift from net working time and applies the rule accordingly.
Why should night work in a warehouse be handled separately?
Under art. 69 of Law 4857, night is the period between 20:00 and 06:00, and night work as a rule may not exceed 7.5 hours. For a shift to count as a night shift, more than half of the work must fall in that period; what is measured is net work, with the rest break deducted.
On a busy dispatch night it is tempting to extend the shift by an hour or two. But overtime cannot be worked on a night shift (art. 41); the extension may look like an innocent line on the timesheet, yet it breaks the law. The system does not even let the request reach approval.
How the time of the break changes the result
The same 16:00–24:00 shift with a 30-minute rest break — net work 7.5 hours, half of it 3 hours 45 minutes.
| Rest break | Net work after 20:00 | Result |
|---|---|---|
| 19:30–20:00 | 4 hours | Night shift — more than 3 h 45 min |
| 20:00–20:30 | 3 hours 30 minutes | Day shift — less than half |
Criterion: under the regulation on work in shifts, a shift in which more than half of the working time falls in the night period is a night shift. A shift exactly half at night does not count as a night shift.
Day-to-day use in the warehouse and on delivery
QR at the loading bay
The code posted at the warehouse entrance is tied to its location; it is scanned at the start of the shift.
Field permission for drivers
A delivery driver can clock in by location from the first drop; it is kept separately as a field clock-in.
Clock-out after the night shift
Staff who forget the morning clock-out get a reminder; a record still open closes by company rule and is flagged separately.
Forklift operators
Operator licence and medical check notify the manager 30 days before expiry.
Rotating night weeks
Night and day weeks are planned in rotation; art. 69 provides that staff work at most one working week on nights and then move to days — build the plan accordingly.
Night work as its own line
Night work, weekly rest days and overtime appear as separate lines on the monthly timesheet.
When logistics firms ask
Can we extend the night shift on a dispatch night?
Overtime cannot be worked on a night shift (Law 4857 art. 41). The system stops the overtime request of staff on a night shift at request stage. The right way to cover a busy night is to plan extra staff on a separate shift.
Is an 8-hour night shift against the law?
What is measured is net work, not the shift’s span. On a 22:00–06:00 shift with a 30-minute rest break, net work is 7.5 hours, right at the art. 69 limit. Rest breaks do not count as working time (art. 68).
Our drivers go straight out on delivery; how do they clock in?
The driver is given field permission and clocks in by phone with location from the first drop. The record is not rejected and is kept separately as a field clock-in. Location is collected only while a shift is open.
Does a night worker forgetting the morning clock-out spoil the timesheet?
No. Staff who forget get a reminder; a record still open is closed automatically by company rule and flagged as an “automatic clock-out”. The manager enters the actual time if needed; no inflated hours reach the timesheet.
