Time and attendance software: no terminal to buy
Attendance control does not need a device on the wall. Records come from the employee’s phone, a QR code posted at the workplace or a shared tablet at the door; late arrivals, early departures and missed clock-outs are flagged automatically.
What problem does it solve?
A classic attendance set-up starts with a terminal: buy the device, mount it by the door, hand out cards. The problems start there too — cards get lent, a broken device stops all recording, and staff on a construction site or at a customer’s address never pass the device. At month end the log is copied into Excel and the gaps are filled in by hand.
Fingerprints and face recognition are not the answer either: the Turkish Personal Data Protection Board’s principle decision 2026/921 held that processing biometric data for working-time tracking is unlawful even with explicit consent. Our system therefore verifies identity with QR, location, photo and a personal PIN.
This page covers the attendance side of the system: how a record is created, which situations are flagged and how a wrong record is corrected. Timesheets and shifts have their own pages.
Four ways to clock in, one shared record
An employee can clock in by QR in the morning and out by phone in the evening; the timesheet does not care.
Web interface
Desk staff clock in and out from a computer. Location checks apply according to company rules.
Phone with location
Location-verified clock-in within a defined work area. With a weak signal, the location’s accuracy margin is taken into account.
QR code
A QR code posted at the workplace is tied to that location; scanning a photo of it elsewhere does not count as a clock-in.
Shared tablet (kiosk)
Staff without a phone pick their name on the tablet at the door and clock in and out with a personal PIN.
Offline clock-in
With no connection the tap time is stored on the phone and sent when the connection returns; the manager sees the record as “taken offline”.
Several clock-ins a day
If the company setting allows it, staff can clock out and back in on the same day; if not, the server rejects the second clock-in and says why.
How each situation is flagged
The real job of attendance control is not taking the record but making the exception visible.
| Situation | What the system does | Who sees it |
|---|---|---|
| Late arrival | Once the company’s tolerance is exceeded the record is flagged “late”; repeated lateness produces an alert. | Manager and the employee |
| Early departure | Leaving before the end of the shift is flagged separately; staff can file an early-leave request in advance. | Manager |
| Missed clock-out | The employee gets a reminder; a record still open is closed by company rule and flagged separately as an “automatic clock-out”. | Manager, who can correct it |
| Outside the area | Blocked or flagged, by company setting; clock-ins from a customer address by staff with field permission are kept separately. | Manager |
| Expected but absent | Shown as “not clocked in” on the live board. | Manager |
| Manual correction | Attendance a manager records on someone’s behalf, and every correction, is stored with its history. | Authorised managers |
How to move off a terminal
Define work areas
Enter a location and radius for each branch or site; on site, “use my current location” does it.
Prepare QR codes and the tablet
Location-bound QR codes are printed; the shared tablet is linked with an activation code and staff are given PINs.
Run both records side by side
You do not need to switch off your old device during the trial; compare the two records and see the differences.
Switch off biometrics
If the old device reads fingerprints, turn that verification off and record the destruction of the collected templates.
Questions about time and attendance
Is time and attendance software the same as workforce management software?
Attendance is the record of who clocked in and out, when and where. Workforce management adds leave, shifts, overtime and timesheets on top. In our system both use the same record; attendance is not a separately purchased part.
What should we do with our existing card terminal?
You do not need to switch it off during the trial; you compare the two records side by side. If the device uses fingerprints or face recognition, KVKK principle decision 2026/921 means you must turn that verification off and destroy the collected biometric templates. Connecting the device itself to the system is not a standard part of the product today; if you need it, we discuss it separately during discovery.
Who sets the lateness tolerance?
The company does. A delay of a few minutes within tolerance does not shorten the timesheet; a clock-in beyond it is flagged “late”, and repeated lateness alerts both the manager and the employee.
How do staff without a phone clock in?
They pick their name on the shared tablet (kiosk) at the door and clock in and out with a personal PIN. If the company wishes, the tablet also asks for a photo, which makes clocking in for a colleague harder and leaves a trace.
Can we export clock-in records?
Yes. Clock-in records, timesheets and reports export as CSV, PDF and Excel. A system you cannot export from is a system you cannot leave; whichever product you choose, verify this by trying it.
